What Happens After You Contact a Therapy Practice? Here's How Intake Works
Not knowing what happens next is one of the quieter reasons people put off reaching out for therapy in the first place. Here's the short version: you reach out, your insurance gets verified, you have a free 15-minute consultation, and you leave that call matched with a therapist and a first session already on the calendar. Nothing requires paperwork before you've even talked to anyone, and nothing moves forward without you knowing your cost first. Below is what actually happens at each step.

Step 1: You Reach Out
At Walk With Me Counseling Center, this usually means booking a free 15-minute consultation directly through an online calendar, no phone tag, no waiting on a callback. You can also call or email first if you'd rather talk to a person before booking anything.
There's no intake form to fill out at this stage. The paperwork comes later, once you've already decided this is worth pursuing.
Step 2: Insurance and Cost Get Confirmed
Before your consultation call is even finalized, our team goes to work behind the scenes to verify your benefits. We check your coverage and calculate your estimated out-of-pocket cost for ongoing therapy so you have full clarity upfront.
Walk With Me Counseling Center is in-network with Blue Cross Blue Shield PPO, BCBS Medicare Advantage, Blue Cross Community Health Plans (Illinois Medicaid), and Aetna PPO. With in-network insurance, most clients pay between $0 and $25 per session, while Blue Cross Community Health Plans members pay $0 out-of-pocket.
If you are paying out of pocket or using an out-of-network plan, you will receive a Good Faith Estimate under the federal No Surprises Act. Either way, you know your financial responsibility before any services begin.
Step 3: The Free Consultation
This is a real conversation, not a sales pitch, and it's with a licensed therapist. You'll talk about what's bringing you to therapy, ask any questions you have, and get a sense of whether the practice feels like the right fit.
This same conversation is also where you're matched with the right therapist on the team, based on what you share, your schedule, and your insurance, and where your first session gets scheduled. You leave the call with an actual date, not a promise to follow up later.
There's no commitment attached to booking the consultation itself, and no pressure to continue if it doesn't feel right, for either of you.
Step 4: Complete Your Intake Paperwork
Once you're matched and your first appointment is on the calendar, you’ll receive an email invitation to access your secure, HIPAA-compliant client portal. All paperwork is completed digitally—no printing or scanning required. You’ll review practice policies, sign consent forms, and fill out a brief intake questionnaire at least 24 to 48 hours before your first session so your therapist can review it ahead of time.
Step 5: Your First Session
Sessions are 55 minutes long, held weekly to start, and conducted virtually via our secure telehealth platform. Your first appointment is all about building a roadmap: exploring your history, discussing what has and hasn't worked, and outlining your goals so you and your therapist can begin the real work together.
What Happens After the First Session
Ongoing sessions settle into a weekly rhythm, though your therapist will pace that to your specific situation rather than applying it uniformly. Progress gets checked in on directly rather than assumed. If an approach isn't working, that's something you and your therapist adjust together, not something you have to figure out or push through alone.
If You're Still Hesitant
Most of what makes people put off that first contact isn't really about the therapy itself. It's not knowing what to expect, worrying insurance will be confusing, or not being sure the fit will be right. All three of those are addressed before you commit to anything: the process is laid out above, insurance gets verified before you owe anything, and the free consultation exists specifically so fit is something you find out, not something you gamble on.
How Long the Whole Process Takes
You can view currently available consultation times online and choose an opening that works with your schedule. How quickly your actual first session happens after that depends on your matched therapist's current availability, which is exactly the kind of thing worth asking directly during your consultation rather than assuming from a blog post.

Ready to See What Intake Actually Feels Like?
The best way to understand the process is to start it. A free 15-minute consultation doesn't commit you to anything, it just answers the questions this article can only generalize about.
If you're in crisis or need help right now, call or text 988 (Suicide & Crisis Lifeline) or go to your nearest emergency room. Walk With Me Counseling Center provides ongoing therapy, not emergency or crisis services.
